How to Backup Email from an IMAP Account?

You can take a backup of email messages from the specified IMAP account to the given path on your local system. You can take a backup of selected folder(s) as well as selected emails of any folder in your account as per your requirement.
You need to create a configuration to take a backup from E-mail account.

Beyond Inbox provides two ways to take a backup of email and these are:

  1. Backup using Backup option (Backup Plan).
  2. Backup using Advanced option.

Using Advanced option, you can further backup your data in two ways:

  1. Backup selected email from a folder in an Email account.
  2. Backup all email of selected folder(s) in an Email account.

Follow these steps to take a backup of email using Backup Plan:

STEP: 1

  1. Run Beyond Inbox as usual. Choose Back Up option from the main user interface.
  2. It will open Backup Plan window.
  3. There are two options to run the saved backup plan(s)-
    • If you have already created a backup plan, select a plan from Select Backup Plan list on this window and click on Run Backup Plan.

  1. Click on Manage Backup Plan and it will open Manage Pre Planned Backup Profiles window. Here you need to create a backup plan as per your backup requirement.
  2. Save your profile and  Run button will be enabled.
  3. Click on Run button to run selected backup plan.
NOTE: If you have saved your backup plan with password, it will ask you to enter the password before running the backup plan.

STEP: 2

  1. After selecting any option from above, it starts the backup plan in queue.
  2. You can see Progress for each email as Running or Completed.
  3. You can also stop any selected processing email using right click Stop option.
  4. You can see Statistics for Backup operation like Start Time, End Time, number of successed, failed, identical, pending, and total backup emails in statistics tab in queue.
  5. It will download the email in Data folder at the specified path.
  6. You can also retry for failed emails. At statistics panel Retry button will get visible if failed count is greater then zero, Using that Retry button you can do a retry for failed emails
  7. You can also get the details of failed process using Failed Tab in queue.

Follow these steps to take a backup of email using Advanced option:

STEP: 1

  1. Run User Interface of Beyond Inbox.
  2. Select Advanced option from the main user interface.
  3. It will open a new window.

  1. Now select an IMAP profile from Quick Connect button. It will connect you to the email account specified in the selected IMAP profile.
  2. If you have not created any IMAP profile yet, please visit this page to create an IMAP profile.
How to create an IMAP Profile
NOTE: If you have saved your IMAP Profile with password, it will ask you to enter the password before connecting to the specified email account.

STEP: 3

  1. After connecting successfully to the account, it will display the list of folders present in the account.

  1. To set the path where backed up email is saved i.e. Data folder path, go to File menu then choose Preferences and set your desired path in Data Path text field & save it.

  1. Select the desired folder with the email that you want to download.
  2. It will list all the emails in the selected folder.
  3. Select the email from the list.
  4. Click on Download Selected button.
  5. It starts the downloading email processing in queue.
  6. You can see Progress for each email as Running or Completed.
  7. You can also stop any selected processing email using right click Stop option.
  8. You can see Statistics for download operation like Start Time, End Time, number of successed, failed, identical, pending, and total download emails in statistics tab in queue.

  1. Login with IMAP profile and you will get all the folders present in it at the left side panel.
  2. When listing folders & their count is completed, Download Folder(s) button is enabled. Click on it.
  3. It will open a new panel named as "Download Folder(s)”. Here you will find all folders in that account. If any Folder is selected from the left side of panel, that folder will be selected in this panel also.
  4. Select the folder(s) which you want to download. If you want to download all folders from that account, click on “ Check All ” button.
  5. After selecting the folder(s), click on Download button.
  6. It starts the downloading email from slected folders in queue.
  7. You can see Progress for each email as Running or Completed.
